Unit 1: Digital Documentation (Advanced)
Advanced Writer Features: ToC, Templates & Track Changes

Comprehensive Theory Notes, Step-by-Step Concepts, & Board Exam Preparation Material

1. Table of Contents (ToC)

In long documents like books, project reports, and research papers, a Table of Contents (ToC) provides an organized overview of chapter titles, headings, and their corresponding page numbers.

Exam Definition: A Table of Contents (ToC) is an automatically generated list of headings and subheadings in a document along with their respective page numbers. It relies strictly on document Heading Styles (Heading 1, Heading 2, Heading 3) to build its structure.

Prerequisite for Creating a ToC

Before generating a ToC, you MUST format all document titles using built-in heading styles (e.g., Heading 1 for chapter titles, Heading 2 for main topics, and Heading 3 for sub-topics). Plain text formatted manually will NOT appear in the Table of Contents.

Steps to Insert a Table of Contents

1

Step 1: Position the Cursor

Place your cursor where you want the ToC to appear (usually on a blank page at the beginning of the document).

2

Step 2: Open ToC Dialog

Go to the main menu bar: select Insert > Table of Contents and Index > Table of Contents, Index or Bibliography...

3

Step 3: Configure Settings

In the Type tab, enter a title (e.g., "Table of Contents"), ensure Type is set to Table of Contents, and check the option "Protected against manual changes".

4

Step 4: Generate ToC

Click OK. LibreOffice Writer scans the document headings and builds the index automatically.

Key Customization Options in ToC Dialog

Protected Against Manual Changes Prevents accidental direct editing or deletion of ToC text on the page. All changes must be made in headings or ToC properties.
Create Index For Option to evaluate headings for the Entire Document or just the current Chapter.
Evaluate up to Level Defines how many heading levels (1 to 10) to include in the index table.
Entries & Styles Tabs Allows customizing hyperlink navigation, tab leader dots (.....), and background shading for the ToC.

Updating & Deleting a Table of Contents

Updating a ToC (Crucial Exam Concept!)

A Table of Contents in Writer does NOT update automatically when you add, edit, or delete headings/pages. You must update it manually:

Action: Right-click anywhere inside the generated Table of Contents and select Update Index.

Deleting a ToC

Action: Right-click anywhere inside the Table of Contents and select Delete Index.
⚠️ Frequently Tested Board Exam Trap:
Does the Table of Contents update automatically when new pages are added?
No! The user must manually right-click the ToC box and choose Update Index.

2. Working with Templates

Exam Definition: A Template is a pre-designed model or blueprint document containing predefined layouts, formatting styles, logos, headers, footers, and font settings used to create new documents with a consistent appearance.

Why Use Templates? (Key Advantages)

1. Standardized Formatting Ensures all organizational documents (letters, resumes, certificates, invoices) follow uniform design guidelines.
2. Saves Effort & Time Eliminates the need to recreate document structures, margin rules, headers, and styles from scratch.

Creating a Custom Template

1

Step 1: Design the Document

Create a new document and add the required formatting, logos, headings, page borders, headers, and footers.

2

Step 2: Save as Template

Go to main menu bar: select File > Templates > Save as Template... (or press shortcut Shift + F11).

3

Step 3: Name & Categorize

In the Template Save dialog box, enter a template name, choose a template category (e.g., My Templates), and click Save.

Using & Managing Templates (Template Manager)

Press Ctrl + Shift + N or go to File > New > Templates... to open the Template Manager dialog.

Setting a Default Template

When you open a new blank document in Writer, it uses the Default Template.

To Change Default: Open Template Manager (Ctrl + Shift + N) > Select your custom template > Click Action / Settings button > Select Set as Default.

Resetting to Original Default Template

To Reset: Open Template Manager (Ctrl + Shift + N) > Click Action / Settings button > Select Reset Default Template > Text Document.
⚡ Board Exam Shortcut Keys:
• Open Template Manager: Ctrl + Shift + N
• Save Document as Template: Shift + F11 (or via File > Templates)

3. Track Changes & Document Review

Exam Definition: Track Changes is an editing and collaboration feature in LibreOffice Writer that records all additions, deletions, text replacements, and formatting modifications made to a document by reviewers, highlighting edits in distinct colors with author names and timestamps.

Key Operations in Track Changes

1. Activating Track Changes (Recording Edits)

To begin recording modifications, activate Track Changes mode before editing the document.

Menu Path: Edit > Track Changes > Record (or shortcut Ctrl + Shift + C).
• Added text appears highlighted (usually underlined in color).
• Deleted text appears struck-through (e.g., sample text).

2. Accepting or Rejecting Changes

The original author can review recorded edits made by editors or peers and decide whether to accept or reject them.

Menu Path: Edit > Track Changes > Manage... (or shortcut Ctrl + Shift + E).
In the Manage Changes dialog window, click Accept, Reject, Accept All, or Reject All.

3. Inserting Comments

Reviewers can leave explanatory notes or queries attached to specific text passages without altering body text.

Menu Path: Place cursor > Select Insert > Comment (or shortcut Ctrl + Alt + C). A comment box appears in the right margin.

Comparing & Merging Documents

Comparing Documents Used when a reviewer edits a copy of your document WITHOUT turning on Track Changes.

Menu Path: Open original file > Go to Edit > Track Changes > Compare Document... > Select edited file. Writer highlights differences as tracked changes.
Merging Documents Used when multiple reviewers edit separate copies of the same original document.

Menu Path: Open original file > Go to Edit > Track Changes > Merge Document... > Select edited files. Combines edits into one document for review.
🔍 Exam Distinction: Compare vs. Merge Documents
Compare: Compares two versions (original vs. edited file without track changes) to find differences.
Merge: Combines tracked changes from multiple copies edited by different reviewers into a single master document.

4. Important Concept Comparison Tables

Parameter Template Standard Document
File Extension .ott (OpenDocument Text Template) .odt (OpenDocument Text)
Primary Purpose Acts as a reusable structural blueprint for future documents. Stores specific content and text for a single file.
Behavior on Opening Opens as an Untitled new copy, protecting the source template. Opens the original source file directly for editing.
